1. Purpose
This Acceptable Use Policy ("AUP") sets out the rules for using Gem Quote ("the Service"). It applies to all users in the United Kingdom and supplements our Terms of Service. By using the Service, you agree to comply with this AUP. Violations may result in suspension or termination of your account.
2. Permitted Use
✓ You MAY use Gem Quote to:
- Generate quotations, estimates and pricing documents for legitimate business purposes;
- Send quotes to genuine customers and clients;
- Save and manage your business quotes;
- Download PDF versions of quotes for business use;
- Share quotes via WhatsApp, SMS, email or other communication channels with genuine customers;
- Test the Service features during a free trial period.
3. Prohibited Use
✗ You MUST NOT use Gem Quote to:
- Generate fraudulent, misleading or fictitious quotes intended to deceive customers;
- Quote for work you are not qualified or licensed to perform;
- Create quotes that violate any applicable UK law or regulation;
- Circumvent free tier limits by creating multiple accounts;
- Resell or commercially exploit the Service or its AI-generated outputs as a standalone product;
- Reverse-engineer, decompile or attempt to extract the source code or AI prompts of the Service;
- Use automated scripts, bots or scrapers to access the Service or extract data at scale;
- Attempt to interfere with, disrupt, overload or compromise the security of the Service or its infrastructure;
- Impersonate another business or professional when generating quotes;
- Process personal data in violation of applicable data protection law, including UK GDPR and PECR;
- Generate content that is defamatory, offensive, discriminatory, or that violates third-party rights;
- Use the Service for money laundering, fraud, or any other criminal purpose;
- Use the Service in any way that brings Gem Quote into disrepute.
4. Quote Content Standards
All quotes generated and sent through the Service must:
- Accurately represent the work you intend to carry out;
- Be reviewed and verified by you before sending to a customer;
- Comply with applicable UK consumer protection laws regarding pricing transparency, right to cancel, and other consumer rights;
- Not contain false or misleading claims about materials, workmanship, qualifications, or compliance;
- Where required by law, include required statutory information (e.g. right to cancel, VAT registration, Gas Safe registration).
5. Data Protection Obligations
When you enter customer information into the Service (such as customer names), you act as the data controller for that personal data and we act as your data processor. You are responsible for:
- Having a lawful basis for processing your customers' personal data;
- Complying with applicable data protection law (including UK GDPR and PECR) in respect of your customers;
- Only entering personal data that is necessary for the quote;
- Not entering sensitive personal data (such as health information, financial account details, or government identification numbers) into the Service.
6. Regulated Industries
If you operate in a regulated industry, you are solely responsible for ensuring your use of the Service complies with applicable regulations. This includes but is not limited to:
- Gas engineers: Gas Safe registration requirements and associated legal obligations regarding quotes and contracts;
- Electricians: Part P and electrical certification requirements;
- Financial advisers / accountants: FCA or equivalent regulatory requirements regarding fee disclosure and client agreements;
- Medical / health professionals: Applicable healthcare regulations regarding patient communications;
- Legal professionals: Professional regulatory body requirements regarding client care letters and fee estimates;
- Any other regulated profession: The regulations of your relevant professional body or licensing authority.
Gem Quote is a general tool and does not generate regulatory-compliant documentation for any specific regulated industry without independent verification and customisation by you.
7. Reporting Violations
If you become aware of any violation of this AUP by another user, or if you believe the Service is being misused, please report it to us at support@gemquote.co.uk with the subject "AUP Violation Report". We take all reports seriously and will investigate promptly.
8. Consequences of Violation
Violation of this AUP may result in:
- Immediate suspension or permanent termination of your account without notice or refund;
- Referral to relevant law enforcement or regulatory authorities;
- Legal action to recover losses or seek injunctive relief;
- Public disclosure of violations where required by law.
9. Updates
We may update this AUP from time to time with reasonable notice. Continued use of the Service constitutes acceptance of any updated AUP. This AUP was last updated on 20 May 2026.
